Minimum Requirements
To qualify for this position, candidates must meet the following:
- Education:
- Grade 12 (Matric) – required.
- A 2-year Diploma or Degree in Logistics, Supply Chain, or Retail Management – an advantage but not essential.
- Experience:
- At least 3 years in a customer service or logistics role (e.g., coordinating deliveries, working in a warehouse, or managing stock).
- Skills and Knowledge:
- Strong skills in Microsoft Excel and Word (e.g., creating spreadsheets, tracking data).
- Familiarity with Warehouse Management Systems (WMS).
- Understanding of supply chain processes and FMCG (Fast-Moving Consumer Goods) retail operations.
- Experience with warehouse and logistics planning.
- Good numerical and analytical skills (e.g., working with numbers and solving problems).
Duties and Responsibilities
The Senior Customer Service Officer will handle key tasks to ensure deliveries run smoothly:
Delivery Schedule Coordination
- Check transporter schedules in the transport management system for accuracy.
- Share delivery Estimated Times of Arrival (ETAs) with store managers so they can prepare staff.
Pallet Estimation & Planning
- Pull store orders from the BOMM system.
- Calculate pallet volumes for each order.
- Create and send pallet spreadsheets (including store name, code, order number, and pallet count) to transporters.
- Recommend the right truck size based on pallet data.
- Prepare collection documents for outsourced transport providers.
Communication & Coordination
- Act as the main contact between stores, regional managers, and DC operations.
- Update everyone on order statuses, special requests, or delivery issues.
- Solve delivery-related questions or problems quickly.
Transporter Liaison
- Talk directly with transport companies about orders and delivery schedules.
- Confirm details and follow up on late or missing deliveries.
Order Monitoring & Reporting
- Track daily order cut-off times.
- Report late orders to regional and DC managers.
- Start planning right away for stores that submit orders on time.
JABS Allocation Support
- Use the BOMM system to create and combine store orders.
- Print and hand over orders for picking in the warehouse.
